Import/Export Documentation Specialist

With a presence in global markets, we’re looking for a meticulous Import/Export Documentation Specialist to help with our logistics operations and ensure smooth, compliant international movement of our haircare products. About the Role This is a part-time, fully remote role, supporting our global distribution by managing the preparation, accuracy, and compliance of import/export documentation as needed. This position is perfect for someone with a sharp eye for detail, polite disposition and experience in international air & ocean shipping. Key Responsibilities • Prepare and manage import/export documentation for global shipments, including commercial invoices, packing lists, bills of lading, certificates of origin, and MSDS (Material Safety Data Sheets) for haircare products. • Ensure compliance with international trade regulations, customs requirements, FDA regulations, and country-specific standards related to cosmetics. • Collaborate with freight forwarders, customs brokers, 3PLs, and internal departments (Sales and Operations) to ensure timely and accurate shipment processing. • Monitor international shipments, resolve customs holds or documentation discrepancies, and provide timely tracking updates. • Manage Harmonized Tariff Schedule (HTS) classifications and ensure correct usage of Incoterms. • Maintain accurate and compliant record-keeping for audits and regulatory reviews. • Stay current with evolving global trade policies, tariffs and import/export regulations that affect personal care goods. Qualifications • 2–4 years of experience in international logistics or import/export documentation. Cosmetics, haircare, or beauty industries experience preferred but not required. • Strong knowledge of international shipping documentation, HTS codes, and Incoterms. • Familiarity with global customs and FDA regulations for personal care products. • Geographical knowledge. • Proficiency with shipping platforms. • Strong attention to detail, time management, and organizational skills. • Excellent communication and problem-solving abilities.
